How to answer real estate leads on WhatsApp in under 5 minutes
Response speed decides who gets the visit. A practical guide to replying fast without burning out your sales team.
When someone writes asking about an apartment, they are still browsing. They have three or four tabs open, they already messaged other projects, and they will move forward with whoever answers well first. That is why time to first response is the cheapest sales metric to improve and one of the ones that weighs the most on results.
What happens today in most real estate companies
The lead arrives via WhatsApp, the website form or a social media campaign. It lands on a shared number or on the phone of an advisor who is in the sales room, on a visit, or simply off the clock. The reply comes hours later, sometimes the next day. By then the prospect has already talked to another project.
It is not an attitude problem. It is a process design problem: nobody can be available 24 hours a day and, at the same time, serve the person in front of them well.
A three-step response flow
1. Immediate first contact
What matters in the first minute is not selling, it is confirming there is someone on the other side. A good first message greets by name, mentions the project they asked about, and asks a single question to move forward. No seven-option menus.
2. Qualification in three questions
Before offering a visit, you want to know three things: which unit type they are looking for, their budget range, and when they plan to move or invest. With those three answers the advisor already knows whether it makes sense to prioritize that lead today.
3. Propose the visit with concrete options
"When would you like to visit us?" opens a conversation that cools down. "Does Saturday at 11 or Sunday at 4 work for you?" closes a decision. Offering two concrete time slots converts much better than leaving the calendar open.
What to automate and what not to
Steps 1 and 2 are perfectly automatable: they are conversational, repetitive and happen at any hour. An AI agent trained on the project information can reply instantly, resolve the frequent questions (prices, areas, financing, location) and qualify without feeling like a form.
What you should not automate is judgment: when to insist, when to offer a benefit, how to handle a particular situation. That is where the advisor comes in with the full context of the conversation and without having spent their time on the usual questions.
How to measure it
Three indicators are enough to know whether the process works:
- Time to first response: the average and, above all, the percentage of leads contacted in under 5 minutes.
- Qualification rate: how many leads end up with the three questions answered.
- Leads to visits: out of every 100 qualified leads, how many reach a confirmed visit.
If you track those three numbers every week, you will see where the flow leaks and which part of the process is worth adjusting first.
